An executive for Bonneville Salt Lake / KSL Broadcast Group is seeking an extraordinary Executive Assistant to support her with all functions of the Salt Lake City market. You will work in a fast paced and multifaceted environment and be responsible for managing the Executives schedule, communicating on her behalf as directed, and assisting in driving a dynamic team to achieve optimal results.

Responsibilities:

THE ROLE:

Your primary responsibility as the Executive Assistant is to support the Executive in a variety of high-level administrative functions. As Executive Assistant, you will:

Recognize and anticipate the Executives needs with the initiative to address those needs
Work independently to clear distractions and roadblocks for the Executive, so she can focus on the big picture
Have a sense of what decisions need the Executives eyes on immediately and which can wait
Have the ability to work behind the scenes and get tasks or projects accomplished autonomously

REQUIREMENTS:

Respect and safeguard confidentiality of all communications and documentation. Help create and review business documents, reports, and analytics.
Respond to emails from clients, partners, and other business contacts in a warm, professional manner while still safeguarding the Executives time and other responsibilities.
Resolve time-sensitive and highly confidential matters with discretion and diplomacy
Maintain the Executives daily schedule, including confirming attendees, agendas, and logistics of all meetings.
Organize, schedule, and manage all travel arrangements.
Manage team retreats and events; plan agenda, book lodging, plan meals, and hotels. Ensure that all retreat deliverables are coordinated and executed.
Take and summarize notes in meetings or on phone calls and handle follow up as directed.
Gather information, format and submit reports to the FCC before deadlines.
Assist with legal matters. Review incoming contracts before sending them to the Executive for signature. Work closely with attorneys and paralegal to ensure deadlines are met and paperwork is complete.
Use various PC software packages such as: Outlook, Excel, Word, and PowerPoint. Produce spreadsheets, graphs, and presentations, as well as the ability to quickly learn proprietary systems.
Upon direction, collect data and synthesize into cohesive & common format for use in presentation with most prevalent applications being Powerpoint & Excel.
Draft, proofread and format emails, agendas, and presentations as directed.
As required, research issues and topics and prepare executive summaries.
Self-manage and report progress for ongoing projects.

Requirements:

QUALIFICATIONS:

BS/BA degree is preferred but not required.
Approximately 5+ years of experience in administrative support (preferred: at least 2+ years of executive support)
Demonstrated knowledge of various PC software packages: Outlook, Excel, Word and Power Point. Ability to produce spreadsheets, graphs, presentations, as well as ability to quickly learn proprietary systems.
Ability to manage 300+ emails per day
Excellent written and oral communication skills
Sensitivity and respect for confidential matters
An ability to prioritize in a fast-paced or high-stress environment
A natural inclination to maintain and/or create organizational systems to reduce time spent reinventing the wheel

PHYSICAL DEMANDS:

Receive, process, and maintain information through oral and/or written communication effectively.
Substantial physical movements (motions) of the wrists, hands, and/or fingers.
Ability to extend hand(s) and arm(s) in any direction with good eye and hand coordination.
Lift, move, and carry up to 20 pounds on occasion.
